  • Payment information when you purchase a programme or service (processed securely through our payment provider — we do not store card details)

Sensitive information

The nature of our work means you may share sensitive personal information with us, including information relating to your health, menopause or perimenopause experiences, and emotional wellbeing. We treat this information with the utmost care and confidentiality. We only use it to provide the support you have asked for, and we will always ask for your explicit consent before processing sensitive personal data.

  • To provide coaching, group programmes, and workshops you have booked or purchased

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. Coaching session notes and records are retained for a period of seven years following the end of our working relationship, after which they are securely deleted.

Sharing your data

We do not sell, rent, or trade your personal data. We may share your data with trusted third-party service providers who assist us in running our business, including:

  • Payment processors (to handle transactions securely)

  • Email marketing platforms (where you have consented to receive communications)

  • Booking or scheduling tools

  • Website hosting and analytics providers

 

All third-party providers we use are required to handle your data in accordance with UK GDPR, the Data (Use and Access) Act 2025, and our instructions. They are not permitted to use your data for their own purposes.

 

We may also disclose your information if required to do so by law, or to protect the rights, safety, or property of Jo Rennie Coaching, our clients, or others.

Where your data is transferred to, or processed in, a country outside the UK, we ensure that the level of data protection in that country is not materially lower than that required under UK law, in line with the updated international transfer test introduced by the Data (Use and Access) Act 2025. We take appropriate steps to ensure your data remains protected wherever it is processed.

Under UK GDPR and the Data (Use and Access) Act 2025, you have the following rights in relation to your personal data:

  • The right to access: you can request a copy of the personal data we hold about you

  • The right to rectification: you can ask us to correct any inaccurate or incomplete data

  • The right to erasure: you can ask us to delete your personal data in certain circumstances

  • The right to restrict processing: you can ask us to limit how we use your data in certain circumstances

  • The right to data portability: you can ask us to provide your data in a structured, commonly used format

  • Rights related to automated decision-making: we do not use automated decision-making or profiling

  • The right to complain directly to us: under the Data (Use and Access) Act 2025, you have the right to raise a complaint directly with us if you believe we have breached UK data privacy law in relation to your personal data. See Section 10 below for how to do this.

Data Subject Access Requests (DSARs)

When responding to requests for access to your personal data, we are required to undertake reasonable and proportionate searches of the information we hold, in line with the updated standard introduced by the Data (Use and Access) Act 2025. We will respond to your request within one month. We may need to verify your identity or clarify the scope of your request before we can proceed, and in such cases the response timeframe may be paused until we have received the necessary information.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at any time. You can contact the ICO at www.ico.org.uk or by calling 0303 123 1113.
